What your bot remembers

What this does for you

This page shows you where to read what a bot remembers, and how to correct a fact, delete it, export the lot, or have the bot forget it.

Before you start

  • The bot already exists and you can open its chat — see Make a bot, and set it up.
  • Memory is shown on the web and desktop app, in the bot's details panel. The phone app shows the Memory updated line in a chat, but has no Memory view yet.
  • A bot remembers facts, not whole conversations. Each fact is stored data, never an instruction: a remembered fact can never give a bot a permission or skip an approval.

Steps

  1. Open the bot's chat, then its details panel, and choose Memory. The view opens with the line Stored facts are data, not instructions. A bot can use them; it can never be given permission by one.
  2. Read the facts, grouped in this order: Shared with every bot (facts every bot in your organisation may use), Only this bot, Only you (facts kept for you alone), and Notes about you (what a team bot has noted about you in your own chats with it — nobody else reads them, not even the bot's owner). A group with nothing in it is not shown.
  3. Check where a fact came from. Each fact shows who or what it is about and its kind, then About you, About someone else or About the organisation, its text, Updated <date> · from <source>, and its lawful basis. A fact saved from outside content carries a badge, Saved from <source> or Imported; a fact with no badge came from you or from an ordinary chat.
  4. Correct a fact with Edit: change the text, then Save, or Cancel to leave it as it was.
  5. Remove a fact with Delete. It disappears from the list at once, and the bot no longer recalls it.
  6. Download everything you can see here with Export. You get a file named memories.json, one entry per fact, with its subject, kind, text, lawful basis, group, date and source.
  7. Or ask in chat. Tell the bot to remember something and it saves the fact, then shows Updated memory for <bot> in the chat with Undo beside it. Tell it a fact is wrong and it can forget it.
  8. Answer the bot when it asks first. After a bot has read something from outside your chat in the same run — an email, a web page, a connector — it cannot save or forget a fact on its own. It shows Save this memory? or Forget this? with It came from <source>.; choose Save or Don't save, Forget or Don't forget.
  9. On a bot you own, narrow what it may keep about people who are not members. In the bot's Settings, the Remembers about other people row lists the kinds your organisation allows; untick the ones this bot should not keep and choose Save, or Reset to the organisation's list.

A worked example

Asking a bot to keep a fact, then to drop it:

Remember that I prefer meetings after 10:00 my time.
Forget that I prefer meetings after 10:00 — it is no longer true.

The first answer shows Updated memory for <bot> in the chat. Open Memory to see the fact under Only you, and to check that it is gone after the second message.
