What this does for you

When your bot makes a file for you — a spreadsheet, a document, a deck — it arrives in the conversation as a card you can open or download. This page covers asking for changes to a file, how each change becomes a new version of the same file, and what the "updated below" row on an older card means.

Before you start

  • You have a bot with a computer, so it can build files (see Your bot's computer if it has none yet).
  • The bot has already shared a file with you in this conversation.

Steps

  1. Ask for a change in plain words, in the same conversation — for example "add a column for last month" or "shorten the summary". You do not need to name the file again or attach it; the bot works on the file it made.
  2. The bot rebuilds the file under the same name and shares it as a revision of the earlier card. The new card appears at the end of the conversation, shows the file's new size and names the version it replaces, for example "Version 2 · replaces budget.xlsx (version 1)".
  3. Under the new card, the bot says the key result in one or two sentences — for example the new total — and what the file now holds.
  4. Look back up the conversation: the older card has collapsed to a single row, "budget.xlsx · updated below". The newest card is always the current version.
  5. To see what the file was before, click the "updated below" row. It opens that older version's preview, or downloads it when the file type has no preview. Nothing is deleted when a file is revised.

A worked example

You keep one budget sheet and ask your bot to adjust it every week.

  • Monday: "make me a budget sheet for the shop". The bot shares budget.xlsx and says "Your monthly costs total 1,285.50; the sheet lists rent and tools with a formula total."
  • Thursday: "add a column for last month". The bot shares budget.xlsx again. The new card reads "Version 2 · replaces budget.xlsx (version 1)", and Monday's card now reads "budget.xlsx · updated below". There is still one budget.xlsx — no budget-v2 or budget-final beside it.

What can go wrong

  • The bot says a new version keeps the file's name. A revision must use the same file name and type as the file it replaces. Ask for the change again; if you really want a separate file, say so ("make a copy called budget-2027"), and the bot shares it as a new file rather than a version.
  • There is no "updated below" row. The bot shared a new file rather than a new version — usually because you asked for a different file. Older files the bot shared before versions existed also stay as full cards.
  • The preview shows nothing useful. Some file types have no preview; the row then downloads the old version instead.
